Lockbox web delivery expedites document search

Practice Management Group handles all billing and collections for its physician and dental clients. A part of the job is locating information needed to resolve issues with insurance companies.
"Insurance companies like to send information in bulk, meaning you could have two to 30 patients in one payment," Fixel said.
In the past, Fixel had to locate the specific piece of paper in a file if the payment was recent or in document storage if she was looking for an older record.
Fixel knew there was a better and more efficient way to do business. She began shopping around and found some options with limited search capabilities. That is when she discovered Pinnacle's lockbox web delivery, which combines traditional lockbox services with online banking.
Every banking day, a Pinnacle employee electronically scans all items received (checks, documentation, etc.) in a designated client P.O. Box (lockbox). Clients can view the images in real time on Pinnacle's website using a secure connection.
Fixel said the difference was Pinnacle's expanded search fields.
"You have to have key pieces of information that mean something to you," Fixel said.
In Fixel's case, key pieces of information could include date, check number, claim number, insurance company, etc.
"I see it as an extension of the other online services that I use," Fixel said.
"Remember when your checkbook wasn't online?" she asked. "First, you called somebody at the bank. Then you had the automated phone systems where you input the check number. And, now, you can go online to see if the check has cleared. It's real-time information that helps us do business."
